General Purpose:

The (Senior) Executive Assistant acts as a strategic partner and gatekeeper to the Management Board (MB), safeguarding the Board's time, focus, and reputational interests while ensuring the seamless operation of governance, executive documentation, and confidential matters. The role goes beyond administrative coordination: it requires a self-directed professional who anticipates priorities, identifies issues before they escalate, and brings forward solutions rather than problems.

The position combines organizational discipline with sound judgement, discretion, and the ability to operate effectively across senior internal and external stakeholders — including regulators, the Supervisory Board, the Corporate Secretary function, clients, and senior counterparts — with calm, adaptability, and dependability under pressure.

Position Highlights

  • Acts as a trusted strategic partner and gatekeeper to the MB by anticipating priorities, resolving bottlenecks, and safeguarding the Board’s focus on decision-critical matters. Serves as a senior point of contact for complex interactions with regulators, Supervisory Board support functions, clients, and senior counterparts.
  • Coordinates the full administrative cycle for MB, Management Team, and Supervisory Board meetings, including timelines, submissions, documentation, minutes, action lists, and governance record-keeping. Monitors MB decisions and commitments, ensures timely follow-up or escalation, and supports Executive Office operations.
  • Manages complex MB agendas by balancing priorities, dependencies, regulatory engagements, and confidentiality requirements. Prioritizes correspondence and required actions, and drafts or reviews emails, reports, memos, presentations, briefing notes, and official correspondence on behalf of the MB, adjusting tone for different audiences. 
  • Provides discreet executive support for complex scheduling, confidential files, and sensitive MB-related matters, while protecting the Board’s confidentiality and reputation. Coordinates domestic and international travel, itineraries, and briefing materials.
  • Identifies process risks, gaps, or inefficiencies and proposes improvements. Handles complex ad hoc assignments with independence, coordination, and confidentiality, and supports urgent or sensitive situations with composure and professionalism

Requirements

  • HBO/Bachelor's Degree in Executive Office Management, Business Administration, or equivalent, complemented by ample banking experience.
  • Minimum of 5–7 years as an Executive Assistant, Senior Executive Officer, or comparable senior administrative professional in banking, financial services, or another regulated industry.
  • Demonstrated experience with corporate governance, regulatory requirements, board processes, and executive-level administrative standards.
  • Proven ability to engage effectively with senior executives, board members, regulators, and external stakeholders.
  • Strong analytical and judgement skills, with the ability to assess sensitivity, urgency, and implications of incoming information.
  • Excellent written and verbal communication skills, with the ability to draft on behalf of the MB and adjust tone for diverse audiences. 
  • Abides by highest standards of confidentiality and trustworthiness in sensitive corporate, regulatory, and personal matters.
  • Time management skills and the ability to prioritize and manage complex agendas, competing priorities, and large volumes of information without dropping anything.
